Statement of Purpose
This position is designed to support the duties of the State Bar’s Executive Director and Chief Operating Officer.

Essential Functions of the Job

  • Ability to complete multiple tasks, be flexible, establish priorities, meet deadlines and adapt to a changing work environment.
  • Ability to work independently and be extremely discreet.
  • Strong organizational skills that reflect the ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail.
  • Interact with and professionally support State Bar staff, volunteers, committee members and leaders.
  • Work for multiple supervisors, including the Executive Director and Chief Operating Officer.
  • Comply with State Bar policies.
  • Subject to in-person and remote supervision and is expected to perform their job in the State Bar Atlanta office or an approved remote location unless managing or supporting a meeting or event that takes place away from the Atlanta office.

Job Duties

  • Responsible for all administrative duties for the executive suite and conducts a wide variety of tasks.
  • Drafts Executive Committee and Board of Governors meeting agendas, gathers exhibits and materials, and finalizes the agenda packet and Board Book, adhering to strict timelines.
  • Maintains the committee database; helps manage committee activities, including scheduling meetings, sending out meeting notices, taking and drafting minutes, and ordering lunches.
  • In addition to administrative and clerical support to the Executive Director and chief operating officer, and due to the physical location of the office, provides support to the Bar officers when in the office or as requested.
  • Processes and distributes all incoming and outgoing mail.
  • Maintains executives’ appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel as needed.
  • Completes and processes executive expense reports.
  • Produces information and reports by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting data and graphics for meetings or events.
  • Coordinates information needed in preparing a variety of high-quality correspondence, including developing presentations, writing reports and typing written agreements, memos, letters and other documents.
  • Conserves executives’ time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information.
  • Welcomes guests and customers in the executive area by greeting them in person or by phone; answering or directing inquiries as needed.
  • Maintains office supplies inventory for the executive area by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Responsible for exemplifying the State Bar of Georgia brand and carrying out its mission while providing member value in all internal and external interactions. 
  • Provides staff support to the Meetings Department for Board of Governors Meetings, Midyear and Annual Meetings, and other specially called meetings as needed.
  • Requires some travel.
  • Performs other duties as assigned.

Required Skills

  • Detail-oriented with good analytical skills a must.
  • Proficiency with various computer applications in word processing, spreadsheets, databases and presentation software, including Microsoft Office 365.
  • Excellent interpersonal skills, project coordination experience and the ability to work well with all levels of internal management, staff and external contacts.
  • Proficiency in conducting research, comparing and analyzing data, and providing others with needed information.  
  • Must have high interpersonal skills to handle sensitive situations and maintain strict confidentiality.  
  • Position requires demonstrated poise, tact, professionalism and diplomacy.
  • Ability to write, speak and interact clearly and professionally.

Coordinator | Fee Arbitration

Job Title: Coordinator

Statement of Purpose

The purpose of the State Bar of Georgia’s program for the arbitration of fee disputes is to provide a convenient mechanism for the resolution of disputes (1) between lawyers and clients over fees; (2) between lawyers in connection with the dissolution of a practice or the withdrawal of a lawyer from a partnership or practice; or (3) between lawyers concerning the allocation of fees earned from joint services. 

Job Duties

  • Read and understand the rules that govern the fee arbitration program.
  • Understand all the departments of the State Bar. 
  • Answer the phones and explain our program to callers.
  • Enter information into the database and send our introductory packet.
  • Open, date-stamp, scan, and upload new mail and faxes.
  • Input new cases in the database and create the paper files and digital files.
  • Monitor and return phone calls on direct dial voicemail line and all Fee Arbitration phone lines.
  • Process assignments in inbox, including ordering all letters assigned, scan and upload each letter to the digital file, make copies of each letter for the paper files.
  • Read cases for jurisdictional meeting, create case summaries, present each case to director and make recommendations on whether to accept or decline jurisdiction of a case.
  • Assist the administrator with preparing the conference room for Friday hearings with materials and refreshments.
  • Prepare flash drive with template for Arbitrator’s Award for each hearing and charge laptop computer.
  • Keep parking validation stickers for hearings and refill as needed.
  • Administer the Oath of Office to Arbitrators at hearing.
  • Greet and escort parties to hearing room, make copies of documents for either party or arbitrators, and any other duties as needed for hearings.
  • Coordinate paper case files in accordance with Fee Arbitration Retention Policy.
  • Assist the director with all aspects of the Fee Arbitration program, and cross-train on every position.
  • Other duties, as needed, under the supervision of the director.

Essential Job Functions

  • Employee is subject to in-person and remote supervision and will be expected to perform his/her job in the State Bar office, unless managing or supporting a meeting or event that takes place away from the office.

Paralegal

Title: Paralegal
Department: Client Assistance Program (CAP)

Statement of Purpose
The Client Assistance Program at the State Bar of Georgia serves members of the public and the State Bar of Georgia by: (1) providing information/referrals to appropriate agencies and services; (2) facilitating communication between attorneys and their clients; and (3) overseeing the resolution of certain grievances against attorneys. The primary purpose of this position is to complete all of the administrative functions necessary for CAP to assist members of the public.

Duties

  • Serves as support staff for the Director.
  • Takes calls from the public concerning issues/problems with attorneys and determines the appropriate way to assist/route/refer the caller.
  • Enters pertinent information from each call taken into the CAPlog database for tracking purposes.
  • Drafts correspondence as directed.
  • Assists in CAP Overview Committee meeting preparation.

Essential Functions

  • Strong interpersonal skills and the ability to work well in a team environment.
  • Interact with the public/complainants in a professional and respectful manner at all times.
  • Proficient with MSWord, Excel, PowerPoint, Outlook, and Internet search engines (Google, Bing, etc.).
  • Strong organizational skills/attention to detail.
  • Handle and prioritize a voluminous workload.
  • Working knowledge and understanding of the Georgia Rules of Professional Conduct and their application, or the ability to garner the same.
  • Rudimentary understanding of various areas of the law, or the ability to garner the same.
  • Work regularly within the agreed upon office hours of 7.5 hours a day.

Sections Coordinator

Job Title: Sections Coordinator

The sections coordinator shall assist the sections director and senior sections coordinator in supporting the activities/programs of 51 sections that provide services to the legal profession and the public. As conduits for information in particular areas of law, sections provide programs, CLE’s and various other events and activities for their membership to exchange ideas with other practitioners.

Job Responsibilities

  • Must provide exceptional customer service to all members of the State Bar as well as other SBG departments.
  • Serve as the contact person and answer questions for ICLE section Institutes.
  • Represent Sections at Institutes (travel required).
  • Assist participating sponsors during Section/ICLE programs.
  • Event Coordination.
  • Set up events in iMIS. 
  • Assist members with registration needs.
  • Generate nametags and rosters from system and fulfill meeting requirements.
  • Close meeting and finalize event.
  • Submit attendance reports to CLE.
  • Work closely with section newsletter editors to update newsletter to ensure timely delivery to members.
  • Various administrative duties as assigned on a daily basis.

Essential Functions of the Job

  • Must be willing to represent sections at various Institutes throughout the Bar year.
  • Assist with annual Section Leaders Orientation; maintain Section Leaders Handbook.
  • Assist in coordinating meetings and events, onsite and offsite.
  • Assist with section newsletters, websites and other communications to and from section members.
  • Respond to daily multiple requests and inquiries from sections membership.
  • Creativity and ability to design and continue to update section newsletters from year to year.
  • Subject to in-person and remote supervision and expected to perform his/her job duties in the State Bar office or remotely, unless supporting a meeting or event that takes place elsewhere.
  • Efficient in Adobe Creative Suite of programs—(critical task).

Education, Training and Experience

  • Post-secondary degree preferred or equivalent.
  • Proficiency in Microsoft Office (Word, Excel, Access).
  • Excellent command of English language and AP Style is required.
  • Photography.
  • iMIS Membership Database.
